Job tracking for construction crews

The drawing
is the record.

Pin the work to the floor plan. Photos, sign-off and the paperwork follow it, job by job, from first fix to the handover pack.

Built for electrical crews first. Works for any trade that marks work on a drawing, and for building surveyors. Runs in the browser on any phone or laptop, nothing to install.

A day on site

Open the drawing and get on with it.

  1. 01

    Drop a pin

Tap the drawing where the work is. Label it, tag the system, assign it to someone. Copy it to every floor if it repeats.

  2. 02

    Photograph the work

Photos stick to the exact spot. Mark them up with lines, labels and highlights. Every change is logged with who made it and when.

  3. 03

    Send it for sign-off

The manager approves, or rejects with a reason the operative sees on their phone. The record keeps both.

  4. 04

    Print the pack

Numbered drawings, site audits and weekly packs go straight to PDF, ready to send to the main contractor before you leave site.

What it covers

One app for the whole job.

No separate snagging app, timesheet app and paperwork folder. Everything hangs off the pin on the drawing.

Pins and photos on the real drawing

Import the architect's PDF, pick the page, and the floor is ready. Pins carry the system, the area, the assignee, the photos and a full change log. Filter by system, by person, or hide what's already signed off. Systems are your list, set per company or per job.

  • Power
  • Lighting
  • Fire alarm
  • Fire dampers
  • Data
  • Your own

Works without signal

Open the app, drop pins and take photos with no connection. It sends everything the moment signal comes back and tells you what is waiting.

QA checks

First fix, second fix, testing and finish. Pass, fail or N/A per item, a photo for each, and sign-off gated until the test certificate is attached.

Variations and the notice clock

Extras logged on site the moment they're instructed. The notice period counts down from that date, and the letter is ready to print.

RFIs

A labelled point on the drawing, referenced to the architect's sheet, with an email draft ready to send.

Building surveys

Condition points with 1 to 3 ratings, defect and recommendation, and a printable Schedule of Condition.

Cable runs

Link two pins with a labelled run so the containment route is on the drawing, not in someone's head.

Weekly board and time sheets

Tasks by day, tied to pins on the drawing. The crew sees theirs. You see everything.

Team and approvals

Office, manager and operative roles, with people put on the jobs they work. Only approved emails get in. Rejections need a reason and every change is logged with who and when.

PinMap site audit sheet listing pins by floor with status, system and description

Paperwork

Paperwork that writes itself.

Share the marked-up drawing with the pins numbered on it, or save the whole pack as a PDF. It's built from what the crew already recorded, so nobody stays late typing it up.

  • Numbered drawing audit, one page per floor
  • Site audit report with photos and who completed what
  • Operative report per person
  • Schedule of Condition for surveys
  • Weekly pack with sign-in sheets and toolbox talks
  • Variation letters with the notice date on them

Add-ons

Switch on what your company needs.

Every company gets the core app. Each add-on is switched on per company, so you only pay for the ones you use. Surveys is a separate product for building surveyors, below.

PinClock

Photo and location clock-in before the app opens, geofenced job sites, time sheets that build themselves, and an automatic clock-out after a set number of hours so a forgotten tap never becomes a 16-hour shift.

Orders

Type the materials list the way the lads write it. AI matches it to your catalogue, the quote request goes to your wholesaler by email, the quote comes back and is checked line by line, and confirmations reply in the same thread. Learns your aliases as you go.

Call-outs

A branded request form your clients fill in instead of email chains. Each call-out gets a reference, a status bar from New to Billed, time and materials logged against it, and a monthly bill sheet for the office.

Surveys

A separate product for building surveyors.

The same drawing, pins and photos, but each pin is a condition point: element, a 1 to 3 rating, the defect and the recommendation. Your own element list, traffic-light markers on the plan, and a printable Schedule of Condition with the RICS-style "without opening up" caveat. Sold on its own as the Surveyor plan; it does not need the Core app, and the add-ons switch on alongside it in the same way, PinClock most often.

  • Condition points with ratings, defect and recommendation
  • Editable element list per practice
  • Schedule of Condition to PDF, numbered drawing per floor
  • Photos, change log, works without signal

Who it's for

Small crews with big paperwork.

Electrical subcontractors

Five to twenty on the tools. Power, lighting, fire alarm, data. QA checks written around first fix, second fix and testing.

Any trade on a drawing

If the work has a location on a plan, it can be pinned, photographed and signed off. Mechanical, plumbing, fit-out, joinery.

Building surveyors

Surveyor mode turns pins into condition points with traffic-light ratings and a printable Schedule of Condition.

Getting started

Up and running quickly.

  1. Create your company

Open the app, choose "Create a new company" and confirm your email. You're the office admin.

  2. We switch it on

New companies are activated by hand, usually within one working day. Email alex@ahaiautomation.com, tell us which add-ons you want, and we'll switch you on at the listed price. By creating a company you agree to our terms of service.

  3. Invite the crew

Add their emails, pick a role, and they sign in from their phone. Add it to the home screen and it opens like an app.

Questions

Straight answers.

Does it work on a phone?

Yes. It runs in the browser on any phone, and you can add it to the home screen so it opens like an app. Managers usually use it on a laptop for the bigger drawing.

Can I use my own drawings?

Yes. Upload the PDF, pick the page for each floor, and the original file stays attached to the job. Re-upload a revised drawing and the pins stay where they were.

Is it only for electricians?

It was built with an electrical crew, so the QA checklist is electrical out of the box. The systems list is yours to change per company, so pins, photos, sign-off and paperwork work for any trade, and surveyor mode covers condition surveys.

Where is our data kept?

In a UK data centre in London. Each company's data is separated, photos and drawings are private, and only approved emails can sign in. Some processing happens outside the UK, for example the AI that reads order lists. The privacy policy lists every provider.

What does it cost?

Per company, not per pin or per photo: see pricing. Core is £239 a month with 10 people included; add-ons are switched on as you need them. Email alex@ahaiautomation.com with how many are on the tools and we'll set you up.

Put it on the drawing.
